Judo Western Australia (“Judo WA”, “we”, “us”, or “our”) respects your privacy. This Privacy Policy explains how we handle personal information when you use judowa.org.au (the “Website”) and the Judo WA iOS application (the “App”).
We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth), where that Act applies to us.

Judo Western Australia Inc. is the state sporting organisation for judo in Western Australia. We operate this Website and the App to provide news, events, club information, membership guidance, job listings, and ways to contact us.

2.1 Information you provide to us
We may collect personal information you voluntarily provide, including when you:
- submit the Website or App contact form (name, email, phone if provided, enquiry category, and message)
- submit other Website forms (for example school program enquiries, event booking requests, feedback, or integrity complaints)
- email or phone us directly
2.2 Information collected automatically
When you use the Website or App, we (or our service providers) may collect:
- technical and usage data such as IP address, browser or device type, operating system, approximate location derived from IP, pages or screens viewed, and date/time of access
- server and security logs needed to operate and protect our systems
- for the App, optional device push-notification tokens if you allow notifications, so we can register your device for alerts
2.3 Information the App may access on your device
With your permission, the App may access:
- Location — to show nearby clubs in the club finder (“Near me” / distance filters). Location is used on-device for that purpose and is not required to browse club listings.
- Notifications — to schedule local reminders (for example upcoming events) and, when configured, deliver remote alerts.
- Calendar — only when you choose “Add to Calendar” for an event, to write that event to your calendar.
The App may also store limited content offline on your device (for example cached news, events, jobs, and clubs) so features remain available without a network connection. Favourite club preferences and notification choices are stored on your device.
2.4 Membership and registration
Membership registration and renewal are provided through third-party club and association portals (including revolutioniseSPORT). When you leave our Website or App to register or renew, that provider’s privacy policy applies to information you submit there. We do not process membership payments inside the App.
3. How we use personal information
We use personal information to:
- respond to enquiries and administer forms you submit
- operate, maintain, and improve the Website and App
- send confirmation or transactional messages related to a form you submitted
- provide content such as news, events, clubs, jobs, and integrity resources
- help keep our services secure and prevent misuse (including rate limiting of forms)
- comply with legal obligations and manage organisational governance
We do not sell your personal information.
4. How we share personal information
We may share personal information with:
- service providers who help us host the Website, send email, or provide IT services, under appropriate arrangements
- Apple, where required for App delivery, push notifications infrastructure, or App Store processes
- regulators, law enforcement, or other parties where we are required or authorised by law
- other organisations in the judo pathway (for example a club or national body) where that is necessary to deal with your enquiry and you would reasonably expect that disclosure
Public parts of the Website and App (news, events, club profiles, jobs) display information we publish for those purposes. Club contact details shown in the club finder are provided for connecting participants with clubs.
5. Cookies and similar technologies
The Website may use cookies or similar technologies that are necessary for security, session management (for example admin login and form CSRF protection), and basic operation. You can control cookies through your browser settings; disabling some cookies may affect Website features.
6. Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. Form submissions and related records are stored in our systems and access is limited to people who need it for their role.
No method of transmission or storage is completely secure. Please take care when sending sensitive information over email or online forms.
7. Retention
We keep personal information only for as long as needed for the purposes set out in this policy, including to meet legal, accounting, or reporting requirements, and then take reasonable steps to destroy or de-identify it when it is no longer required.
8. Children and young people
Our Website and App provide information about judo for a wide audience, including families. If we become aware that we have collected personal information from a child without appropriate consent where consent is required, we will take reasonable steps to delete it.
9. Overseas disclosure
Some service providers (for example hosting, email, or Apple’s services) may process data in locations outside Australia. Where we disclose personal information overseas, we take reasonable steps consistent with our obligations under Australian privacy law.

You may request access to, or correction of, personal information we hold about you, subject to the Privacy Act and any applicable exceptions. The Website and App may link to third-party sites or open third-party content (for example club websites, registration portals, or social media). Those services have their own privacy practices, which we do not control.
